Before a single carton reaches putaway, the receiving team logs a GRN against the inbound order, capturing the supplier, date, items, batch, expiry and VND value. That GRN is checked against the original order right there at the door, so a shortfall, transit damage or a wrong batch turns into a claim or credit note the same day rather than surfacing as an unexplained gap weeks down the line.

It carries the warehouse's name, type and status, plus the linked entity the site belongs to, whether that's a distributor (nhà phân phối), a sub-distributor depot or a wholesaler store. Because that link exists, every carton and every VND of stock value posts against whoever is actually accountable for it, not against the warehouse in the abstract.

It's recorded with an ID, a source, a destination, a date and the items and quantities involved, and for as long as the load is actually on the road it sits as in-transit stock rather than as inventory at either site. Only once the receiving team confirms what physically turned up does it post, and that single rule is what stops a Hanoi-to-Da Nang or Ho Chi Minh City-to-Can Tho run from being counted twice across a 1,650 km network.

Yes, and it's a common pattern. The order stays booked against the original site, a transfer moves out from whichever warehouse actually has the live stock, and dispatch posts against the site doing the fulfilling, so both VND stock deductions land correctly. That flexibility earns its keep most in the Tết run-up, when no single site tends to be deep enough in every SKU on its own.

Every batch is held separately at each warehouse with its own expiry date attached, so selection mode can be switched to FEFO and Auto-Select Batches then does the picking itself rather than leaving it to a warehouse worker's judgement. That matters more in Vietnam than the printed date alone suggests, because heat and humidity in ambient storage eat into usable life ahead of schedule, and this rotation discipline is what keeps medicines, dairy and short-life FMCG from turning into a margin problem.

Any SKU can be flagged for batch, expiry or serial tracking, and the record starts the moment GRN captures the batch at intake. From there, dispatch logs what left and who it went to, and Stock Traceability pieces the full chain back together on demand. That serial-level history has a second use too: if stock allocated to one territory turns up somewhere it was never shipped, the trail already exists to show it, which is exactly the kind of leakage that matters in a market where counterfeit and grey-market goods are a recognised problem.

Damaged stock, expired stock and anything on quality hold each sit in their own bucket rather than being folded back into what counts as sellable, and returns coming back from the trade are received against a document that names the batch involved. The value of that separation shows up most clearly right after Tết, when unsold festive packs and slow-moving lines tend to arrive together. A warehouse that keeps them apart actually knows its sellable position; one that doesn't is only guessing at it.
